Refund Policy

Membership Policy

Membership is non-refundable and non-transferable. 

As outlined in SWCC Constitution and Bylaws, Article 4:

Membership dues shall be fixed by vote of the membership and shall be payable a year from the date the person joined the SWCC. A member whose dues remain unpaid after a month’s notice shall be suspended.

A member in arrears shall have all services suspended, and may not vote until dues and any applicable fees are paid in full.

Any member who remains in arrears for two months shall be given a month’s notice. If dues are not paid at the expiration of the second month, membership will be suspended.

The Executive Director/General Manager shall give the delinquent member due notification of suspension by any method reasonably calculated to provide actual notice.

A membership ends when: the member dies; the member resigns by delivering a written resignation to the chair of the Board of the SWCC/General Manager in which case such resignation shall be effective on the date specified in the resignation; the member is expelled in accordance with disciplinary action set forth in this constitution; the member's term of membership expires.

Event Policy

The SWCC organizes events that create value for members by providing opportunities for a) professional development, b) to exchange ideas, c) network with other members or d) some combination of the above.

The SWCC reserves the right to charge an entry fee for events in order to a) cover costs associated with organizing events and b) to generate revenue for the organization.

Cancellations: Individuals who pay for admission to an SWCC event are entitled to a refund if they email the General Manager at office@sciencewriters.ca, no later than 2 business days prior to the event. Refunds will take approximately 3 - 5 business days to process. This cancellation policy does not include the Conference events.

No shows: Individuals who pay for admission to an SWCC event and who miss the event are not entitled to a refund.

When technology permits, and with the approval of the event speakers, SWCC reserves the right to record PD events. All registered attendees—including no-shows—will have access to event recordings.

The SWCC board, on behalf of the members, steward the human and financial resources of the organization wisely. Any speaker fees or honorariums paid to speakers must abide by the SWCC Honorarium policy.

Conference Cancellation Policy

If you have registered for our conference and are unable to attend, you can cancel up to 30 days prior to the start of the conference. You will receive a refund, less 30% of the conference fee to cover administrative costs.

If you are registered for pre or post conference events and are unable to attend, you can cancel up to 30 days prior for a full refund.

There will be no refunds within 30 days of the start of the conference. However, registration can be transferred to another attendee up to the start of the conference.

International Delegates: International delegates who have registered but are unable to secure a visa to travel to Canada will receive a full refund up to one month prior to the start of the conference.
